The Motion Control Procurement Checklist I Use Before Buying a Johnson Electric DC Motor or Linear Actuator

If you're responsible for sourcing motion components, you already know that the quoted price isn't the real cost. The real cost shows up in mounting, wiring, commissioning, and sometimes a full redo. This checklist is for engineers and procurement people who need to buy a Johnson Electric DC motor, a servo motor with encoder, or a high speed linear actuator without letting hidden costs eat the budget.

I'm a procurement manager at a 220-person automation integrator. For the last 6 years I've managed roughly $60,000 a year in motion control spending, and I track every order in our cost system. The seven steps below are the ones I run through before any order over $1,000. Some of them sound obvious. Step 2 is the one people skip, and it costs more than you'd think.

1. Write the Load Profile Before You Search for a Part Number

A Johnson Electric DC motor can be the right part for one machine and the wrong part for the next one. The difference usually comes down to the load profile: torque, speed, duty cycle, voltage, ambient temperature, and whether the load changes during the cycle.

Before you contact a distributor, write one sentence that describes what the motor will do. Example: "Run at 1,500 rpm with 0.12 Nm continuous torque, in 30-second bursts, at 24 VDC, in a 50-degree C cabinet." If you can't write that sentence, you're not ready for a quote.

Checkpoint: Can you list the max load and how long it must run without overheating? If not, keep working on the spec first.

2. Verify You're on the Johnson Electric Official Website or an Authorized Distributor

This one sounds like basic internet hygiene, but it's the step I almost skipped myself. I once Googled a Johnson Electric DC motor part number and landed on a reseller page that looked official enough. The domain was a third-party marketplace, the photos were pulled from the Johnson Electric official website, and the "customer support" number went to a call center. The price was 6% lower than the authorized channel, and that discount would have disappeared on the first support call.

What I do now: check the URL before I do anything else. The Johnson Electric official website is johnsonelectric.com. If I'm using a distributor, I confirm they're listed as an authorized source on the Johnson Electric official website instead of trusting a Google result. I also request the original datasheet in PDF before I share a PO.

This matters because a motor is not a commodity. Gray-market units can look identical in photos and arrive with no warranty, no lot traceability, and no technical support. That's not a risk I take anymore.

Per FTC advertising guidelines (ftc.gov), performance claims need to be substantiated. If a listing says "high speed" or "heavy duty" but the seller can't provide a datasheet, that's a red flag.

3. Decode the Part Number Before Comparing Prices

Two listings may show the same photo but different Johnson Electric motor part numbers. Those are not the same motor. Johnson Electric's part numbering includes details about winding, shaft length, mounting, and other options that you can't see from a picture.

I've made this mistake. In 2022 I approved a purchase order based on a listing title that matched the motor family but not the exact part number. The shaft dimension was different, and we had to machine a new mount. The "savings" from that listing disappeared in the first week.

Checkpoint: Does the part number on the invoice match the part number on the datasheet? If not, stop the order.

4. Compare TCO, Not Unit Price

This is the rule I care most about. The lowest unit price has cost us more money than the highest unit price in 60% of the orders I've audited over the past 6 years. That's not a knock on discount suppliers; it's just what happens when you compare first costs and ignore installation, lifecycle, and downtime.

In March 2023, we accepted a low quote for a linear actuator because the unit price was $180 below the next option. The actuator failed during validation, which meant a $1,400 redo and three weeks of schedule slip. That event changed how I evaluate every motion component. Now I use a simple TCO formula:

TCO = unit price + freight + mounts + integration labor + spares + expected downtime cost

Sometimes the expensive option is the no-brainer. Sometimes the cheap option wins. The point is to calculate it instead of guessing.

5. Match the Servo Motor Encoder to the Controller

If you're buying a servo motor, the encoder is not a minor option. The key specs are encoder type (incremental vs. absolute), resolution (lines per revolution), and output format (such as BiSS, SSI, EnDat, or incremental A/B). If the encoder doesn't speak the same language as the drive, the motor won't move correctly.

The phrase "more resolution is always better" sounds logical. It isn't. A higher-resolution servo motor encoder adds cost, wiring complexity, and sometimes noise issues. For a simple indexer, a quality incremental encoder may be plenty. For a machine that must remember position after a power loss, an absolute encoder is worth the extra cost.

Most of all, do not choose an encoder based on a bullet point. Download the technical manual and verify compatibility with your controller.

6. Know What VFD Stands For—and Whether You Actually Need One

Let's answer the search question directly: VFD stands for Variable Frequency Drive. It controls the speed of an AC induction motor by varying the frequency and voltage that go into the motor.

The part that still surprises me is when a VFD shows up in a quote for a DC motor system. A VFD is not a universal speed controller. For a brush DC motor, speed control normally uses a DC drive or a PWM controller, not a VFD. If a supplier bundles a VFD with a DC motor "because it's better," ask what function it will serve.

For AC motors, a VFD is useful when the load is variable—a conveyor, a pump, or a fan that needs to ramp up and down. For a fixed-speed application, a VFD is extra spend and another component to fail. It's not automatically valuable just because it's included.

7. Stress-Test the "High Speed Linear Actuator" Claim

"High speed" is one of those phrases that sounds great on a data sheet and explains nothing. A high speed linear actuator might do 250 mm/s unloaded and 80 mm/s under your actual load. The number that matters is the speed at the rated load, not the free-run speed.

When I audit actuator quotes, I ask for three things:

  • Speed at rated load, not no-load speed
  • Duty cycle at that load (can it run continuously, or does it need to rest?)
  • Dynamic load and stroke limits, including side-load ratings

A linear actuator also has force limits that change with speed and stroke. If you need 100 mm/s at 500 N, don't buy the model that hits 100 mm/s at 100 N and call it "high speed." That quote will fail on the first heavy cycle.

Checkpoint: Ask for the test method. If the supplier can't explain how they measured speed and load, the spec is not reliable.

Common Mistakes I Still See in Our Own Orders

Even with a checklist, mistakes happen. These are the ones I've had to fix multiple times:

  • Buying from unauthorized sellers to save 5%, then losing warranty support when the part fails.
  • Ignoring duty cycle. A motor that runs for 20 seconds and pauses has a different thermal profile than one that runs all day.
  • Adding a VFD to a DC motor because the word "drive" sounded compatible.
  • Choosing a servo motor encoder by price alone, then discovering it's not compatible with the controller.
  • Not downloading the dimensional drawing before designing the mounting plate.

One more caveat: my experience is based on domestic procurement from authorized distributors. If you're sourcing internationally, you're dealing with duties, different lead times, and possibly different compliance requirements. I can't promise this checklist will work the same way there.

Bottom line: the cheapest quote isn't the real price, and the most expensive part isn't the real cost. Use the Johnson Electric official website as your spec source, compare TCO, and verify every claim with a datasheet.
